Rules and Regulations of the CIRE PowerUp 2026 Conference

§ 1. General Provisions

  1. These Rules and Regulations set out the rights and obligations of participants of the CIRE PowerUp 2026 Conference, hereinafter referred to as the "Conference".
  2. The Conference is organised by Agencja Rynku Energii S.A., with its registered office in Warsaw (00-728), ul. Bobrowiecka 3, entered in the National Court Register (KRS) under number 0000021306, hereinafter referred to as the "Organiser".
  3. The Conference will be held on the date, at the venue and in the format specified by the Organiser. The Organiser reserves the right to change any of the above until the start of the Conference.
  4. Participation in the Conference is open to representatives of the energy sector and industries related to technology and innovation, in particular persons representing energy companies, technology companies (including those from the AI and IT sectors), public administration bodies, industry organisations, research institutions, universities, and other entities cooperating with the energy and digital industries (hereinafter: "Participants").
  5. The Conference will feature presentations, panel discussions, and company and institutional showcases. The detailed programme is available on the Conference website: https://www.are.waw.pl/cire-powerup.

§ 2. Registration

  • Participation requires completing the registration form and paying the applicable fee within the deadline specified by the Organiser.
  • Participation is confirmed upon receipt of payment and dispatch of an email confirmation by the Organiser.
  • Places are limited and allocated on a first-come, first-served basis, subject to receipt of payment.
  • Registration is open until 30 September 2026, or until places are exhausted, whichever comes first. Registration after this deadline may be possible subject to availability.
  • The Organiser reserves the right to close registration once the maximum number of participants has been reached.
  • The Organiser is not responsible for incorrect data provided by a Participant during the registration process.
  • Submitting a registration constitutes acceptance of these Rules and Regulations.

§ 3. Fees

  • Participation in the Conference is subject to a fee.
  • The applicable fees are set out on the Conference website.
  • Participants are responsible for covering their own travel, accommodation and any other costs associated with attending the Conference.

§ 4. Cancellation

  1. A Participant may withdraw from the Conference by notifying the Organiser by email to the address indicated by the Organiser.
  2. In the event of cancellation:
    • 14 or more days before the event – full refund (100%),
    • 13 to 7 days before the event – partial refund (50%),
    • fewer than 7 days before the event – no refund.
  3. A paid registration may be transferred to another person, provided the Organiser is notified in advance.

§ 5. Cancellation of the Event and Force Majeure

  • Should the Conference be cancelled due to circumstances beyond the Organiser's control (force majeure, e.g. natural disaster, state of emergency, etc.), Participants will receive a full refund of the registration fee paid.
  • The Organiser is not liable for any other costs incurred by Participants.

§ 6. Complaints

  1. Complaints must be submitted in writing to the Organiser's registered address or by email to: konferencja@are.waw.pl.
  2. Complaints may be submitted within 3 days of the conclusion of the Conference.
  3. Complaints submitted after this deadline will not be considered.

§ 7. Personal Data Protection

  1. The controller of your personal data is Agencja Rynku Energii S.A., with its registered office in Warsaw (00-728), ul. Bobrowiecka 3, KRS: 0000021306, NIP: 5261757578, REGON: 012435148.
  2. As the Data Controller, we are responsible for processing your personal data in a secure manner and in accordance with applicable law.
  3. To ensure high data protection standards at ARE S.A., a Data Protection Officer has been appointed – Paulina Rojek. The Data Protection Officer may be contacted by email at: iod@are.waw.pl or by post to the Company's registered address.
  4. Personal data is collected on the basis of Conference registration submissions, directly from you as a Participant, or from third parties registering your participation, as well as from you directly during the Conference.
  5. Your personal data is processed pursuant to Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) (OJ EU L 2016, No. 119, p. 1, as amended; hereinafter "GDPR"):
    1. under Article 6(1)(b) GDPR, personal data is processed for the purpose of registering and facilitating participation in the Conference;
    2. under Article 6(1)(c) GDPR, personal data is processed to fulfil legal obligations relating to the issuance and retention of documents and invoices for services provided or commissioned by the Controller, to exercise rights vested in you or the Controller, including for the purpose of defending against or pursuing claims, and to fulfil other statutory obligations before public authorities;
    3. under Article 6(1)(f) GDPR, personal data is processed for the purpose of promoting the Conference, reporting on its proceedings via social media, and conducting direct marketing after the Conference in relation to future events of a similar nature organised by the Organiser.
  6. Your personal data may be processed by third parties, including in particular entities providing the Controller with services related to the organisation of the Conference, such as: external financial settlement providers, conference venue and facility managers, entities responsible for the technical and visual production of the event (audiovisual recordings, photographers, etc.), and any other service providers supporting the Controller's activities in connection with the Conference or future related events.
  7. You have the right to request access to your personal data, the right to rectification, erasure or restriction of processing, and the right to data portability. Where processing is based on your consent, you have the right to withdraw that consent at any time by sending a written request to the Controller's registered address or by email to the Data Protection Officer.
  8. In addition to the above, you have the right to object to the processing of your personal data where the legal basis for such processing is not your consent, a contract or a statutory obligation. To object to direct marketing carried out by the Controller, please contact us at the Controller's registered address or by email to the Data Protection Officer. Following consideration of your objection, the Controller will cease processing the personal data concerned, unless we can demonstrate compelling legitimate grounds for the processing that override your interests, rights and freedoms, or that the processing is necessary for the establishment, exercise or defence of legal claims.
  9. By accepting these Rules and Regulations, you also grant consent under Article 81(1) of the Act of 4 February 1994 on Copyright and Related Rights (consolidated text: Journal of Laws 2021, item 1062) to the free-of-charge, non-exclusive, territorially and temporally unlimited use of your likeness, in whole or in part, as captured in photographs or footage recorded by a photographer or videographer acting on behalf of the Organiser during the Conference. This consent is granted in particular for promotional purposes, including the publication of your likeness on the Organiser's websites and social media profiles (including Facebook, X, YouTube and LinkedIn).
  10. Where a third party registers a Participant's attendance at the Conference, that third party is obliged to obtain the consent referred to in paragraph 9 above from the Participant and to provide it to the Organiser before the date of the Conference.
  11. Your personal data will be retained for the period determined by the Controller, i.e. 5 years.
  12. You have the right to lodge a complaint with the supervisory authority, i.e. the President of the Personal Data Protection Office (UODO), if you believe that the processing of your personal data by the Controller is in breach of applicable law.
  13. Providing personal data is voluntary; however, failure to provide data required for registration and organisation of the Conference may result in the refusal of registration.

§ 8. Final Provisions

  1. The Organiser reserves the right to make changes to the Conference programme, including changes to speakers, presentation topics and the schedule.
  2. The Conference is a closed event and does not constitute a mass event within the meaning of the Act on the Safety of Mass Events.
  3. The Organiser is not liable for any items lost or damaged by Participants during the Conference.
  4. Participants are liable for any damage caused by their fault at the Conference venue.
  5. Matters not governed by these Rules and Regulations are subject to the provisions of the Civil Code.
  6. Any disputes shall be resolved by the court with jurisdiction over the Organiser's registered seat, unless mandatory provisions of law provide otherwise.
  7. These Rules and Regulations enter into force on the date of their publication on the Conference website.
  8. The Organiser reserves the right to amend these Rules and Regulations. The current version will be published on the Conference website.
